Adding items
Every tool gets a row: barcode, serial, category, location, condition, value. Only the name is required.
The item form
| Field | Rules |
|---|---|
| Name | Required. The only required field. |
| Barcode | Optional — leave it blank and SignoutCrib assigns one
(LC- followed by 8 characters). Must be unique within your
organization. |
| Serial number | Optional free text. |
| Category / Location | Pick from your organization's lists. Managers add, rename, and retire entries in Settings; CSV import also creates unknown names. |
| Condition | Optional label from your organization's condition list (managed in Settings) — see Condition tracking. |
| Value | Optional; must be a number. |
| Purchase date | Optional; YYYY-MM-DD. |
| Notes | Optional free text. |
Finding items
The items list searches name, barcode, and serial number in one box, and filters by status and category. Every item links to a detail page where managers edit any field.
Out of service
When a tool is broken or waiting on repair, mark it out of service from its detail page — a reason is required, and the item disappears from the checkout picker until someone marks it back in service. An item that's currently checked out can't be marked out of service; check it in first.
Retiring an item
Retiring removes an item from the working inventory without destroying its history — past loans and audit entries survive. A checked-out item can't be retired. Right after retiring, the confirmation banner offers one-click Undo; the undo restores the item exactly as it was.
